Collaborate Original: How to Download Legacy Recordings

As noted in the following article, Blackboard is planning to phase out Collaborate Original regionally in the four (4) managed hosted data centers:
The End of Service dates for the Collaborate Original data centers are:

On and after these End of Service dates, Collaborate Original users will no longer be able to create new sessions, start sessions or join sessions.

Playing Recordings:

However your Collaborate Original recordings will continue to be playable until the Recording Retention End Date, for each region as documented below. Up until this Recording Retention End Date, your existing recording links inside your courses and guest links to existing recordings will continue to work and be playable.

On these Recording Retention End dates, Collaborate Original recordings will no longer be playable and existing recording links and guest links to existing recordings will no longer work.

* For clients hosted in Australia, exceptionally, if you haven’t been able to save your recordings before the June 30, 2020, you may open a case on Behind the Blackboard to request credentials to access an online archive folder containing VCR files that will be available until September 30, 2020; you will have to use a download manager if you want to export it.

Downloading Recordings:

If you are interested in downloading your Collaborate Original recordings, you must do so before the Recording Retention End Date, for your region. Your recordings will no longer be available to download after the Recording Retention End Dates, for your region. You have two options to download your Collaborate Original recordings.

Option #1: Download individual recordings as MP4s

 
This option is ideal to make sure you keep only the recordings that matter and in a format that is directly playable (MP4).

Note that conversion to MP4 takes at least as much time as the recording itself, so check back later to download. The MP4 files contain the Audio, Whiteboard and Application Sharing content. All other information (including Chat, Polling, emoticon feedback, Web Tour, Video and Multimedia content) will not be retained in the converted MP4 format. MP4 is the only recommended format that will remain playable for years without compatibility issues, as it doesn't rely on Java.

It is best to inform Professors of the deadline, and tell them do download the recordings that matter to them directly from within their LMS courses, in MP4 format (not the ".collab" format, which won't be readable past the End of Service date).

If you want to handle this at the administrator level, as a Collaborate Administrator, you can run reports to see the latest recordings including number of views and thus focus on those most important. For more information on reports, please see this guide;

In order to download specific recordings, you will have to log into the Collaborate Original SAS Interface (administration interface), search for your recording and download it (as a playable MP4 file only, note that the play.collab native format or VCR format won't be readable past the end of service).

Again, you must do this before the Recording Retention End Date, for your region.

Option #2: Bulk download all your recordings in VCR format
 
In this option, you will bulk download all of your recordings in one operation (In other words, you will not have the option to bulk select individual recordings) in the native VCR format. In order to play them you’ll have to first convert them (individually) using the Blackboard Publish software https://help.blackboard.com/Collaborate/v12/Moderator/Blackboard_Collaborate_Publish. It is recommended to convert the files as soon as possible, as maintenance of Publish can't be guaranteed in the long run.

As conversion is time-demanding and performed individually, you may want to run reports to focus on only the most viewed and most recent recordings. For more information on reports, please see this guide;

Do not convert to JAR/unplugged format as this cannot be supported in the future due to Java changes outside of our control. MP4 is the only recommended format that will remain playable for years without compatibility issues, as it doesn't rely on Java. In order to bulk download all of your recordings, your system Administrator must execute a command line script. The script is being rolled out per region, and will be usable only until the Recording End Date, for your region.
